Fresh Look - Higher Ed - Registrar
Now the Registrar’s office and every other department supporting students needs a complete, secure, integrated digital record to serve the student. It’s time to take a Fresh Look.
Around campus, the Registrar’s office might finally be fully recognized as vital to the success of both your institution’s academic programs and your students. Registrars were the first in higher ed to start building digital records within Student Information Systems. You’ve always had improving the student experience at the heart of your mission, but there is an increased urgency now for completing the digital student record. The documents and forms stored in hard copy folders within filing cabinets on campus need to be integrated with your ERP and made available, securely, online for an increasingly mobile workforce to access. Is this one of your highest priorities?
As you pivot to protect your outstanding student service efforts in a whole new environment, it’s likely you are finding gaps that may have been overlooked during your digital transformation. Whether there’s pain still within the Registrar’s office, or in your interactions with nearly every other student services office on campus, many higher education institutions are using an Enterprise Content Management (ECM) system to address similar gaps and streamline every process. Whether you know what ECM is or not, already leverage ECM or remain wholly reliant on paper-based processes, hearing how other institutions are bringing digital transformation to the Registrar’s Office (and student) experience, is beneficial.
“The thing I hear the most, particularly from the registrar’s office, is that they love the system. The day that they went live, before I had even left the training, I get an email — ‘I love this.’ That’s the kind of experience that you want your end users to have.”
Laura Kappert | Director of Enterprise Solutions | Elon University
We incorporated [ECM] into our add-drop process. Before we went live on the electronic forms we had about 1200 drops and 1000 adds/semester. And when you think of the enormity of that with all these students running around campus, trying to get four or five signatures on a form. And now it comes directly into us through Etrieve and we process it - it’s pretty streamlined.
Nancy Erwine | Associate Registrar | William Jewell College
With Etrieve, we were able to set up our online forms so students are only able to see the information they need to see, depending on what type of student they are. That’s helped students understand how to fill out the residency form, and it has streamlined our process by eliminating paper. Students now complete the form online and upload their documents. Their information automatically imports into Etrieve—which is an awesome thing.
Martha Smith | Assistant Registrar | Polk State College
We’ve pulled together the following resources to help you take a fresh look at the role of ECM in your campus technology stack and your pursuit of operational transformation. These articles, case studies and recordings showcase the benefits document management, e-forms and workflow automation are already providing higher education institutions - at almost every level and department.
