Typically, manually renewing contracts can take anywhere from four to six weeks (or longer), and most districts must go through it every year. With Softdocs, the process is simplified. Buford City Schools (link to customer story) in Georgia, a customer since 2004, implemented this solution and cut their usual time frame down to an eighth of what they originally spent.

The steps are simple:

The teacher receives notification of a contract via e-mail. The teacher then opens the contract, reviews and accepts or rejects the contract by electronic signature.  The contract is automatically sent back to their principal or human resources for final approval.  After approval the contract is converted into a PDF and archived within the teacher’s electronic folder in Doc e Scan. The entire process is also recorded and archived for an easy-to-read audit trail. Less Paper = More Space

Customer Spotlight: Lincoln County Schools

Lincoln County Schools, a small school district located in eastern Georgia, was in need of a solution to help reduce their use of physical paper. In April 2015, Lincoln selected Softdocs to help them move paperless. Lincoln has already seen major improvements in the short time they have had the Softdocs Workflow Suite and Softdocs On Demand.

In just 28 days, Softdocs On Demand was implemented and live in the Finance department, providing online access to tax forms and payroll documents. The seamless integration of Softdocs On Demand and PC Genesis, Lincoln’s existing accounting and finance solution, allows Lincoln’s employees to view their most recent pay stubs and 2014 W-2s online in less than a month.

“Everything is going great,” shared finance Director Kaye Bufford. “I am pleased with our progress so far.”
