Workflow

As the cost of business continues to escalate, many businesses and institutions are besieged with seemly insurmountable amounts of documents.  Once received, these documents are filed, copied, routed, forwarded, managed, stored; all having definable cost associated to these actions.  Things have to change!

Softdocs is committed to automated workflow, the scanning and archiving of documents into understandable silos of searchable information. Once completed, the institution is closer to a near paperless document automation process.  While books are written on this subject, we offer these bulleted points as beginning steps for advancing this cause.

      •      Embrace change management – No where is this more important.  Assign change managers and evangelist to carry the process to the masses.  Give them authority and support them.

      •      Identifying the culprits - Where is the paper coming from? In-bound mail, host software systems, preprinted forms with multiple copies, internally generated Word and Excel documents.  The list is endless.  How can these documents and flows be changed and processed differently?

      •      Literally, stalk each document to understand its reason for existence.  No document is sacred. Determine if corresponding, companion documents are required.  Can these documents be consolidated?

      •      Once processes and document flows are defined and mapped accordingly, move to action.

      •      Change and or consolidate forms, determine appropriate document routing, determine its archival point and give it keywords to find it years from now.

Softdocs developed Doc e Scan to automate many of the above processes and actions.  Click here to be forwarded to Doc e Scan product page.  Intensely study each feature and draw conclusions as to how these features can assist in embracing change… embracing a near paperless office.
