Customizing Host System Output 
 

With the advent of vertical market software for businesses and institutions, customers have always wanted to customize system output. The reason for this request ranges from improved company image to clarity of information.

Host system companies in the past have either customized their output on demand, an expensive proposition for their customers, or suggested customers contact a “paper” company for preprinted forms. Both options produced good but short-term solutions. Customers required more flexibility. Stocking preprinted forms became a costly process because of changes in addresses, area codes, zip codes, phone numbers and other typically static information. Once a change occurred, the preprogrammed or preprinted forms became obsolete.  Reoccurring changes to software output or preprinted forms became the “expensive” norm.

And while the above is critical to clarity of information, the following issues became equally important: document management and document distribution. Creating crystal clear output without the ability to effectively distribute the documents to the recipient became the next obstacle in host systems. Printing forms, folding paper, stuffing envelopes and applying postage became an expensive administrative burden. Distributing copies to associated departments only added to the document distribution problems.

The final issue of customized output and document distribution was how to effectively manage the ever-changing internal business rules to the host system output. There are many examples of this, such as, electronic signatures vs. manual signatures on checks based on check amount, suppression of social security numbers on direct deposit advices, management of overflows and information on static pre-designed and preprinted forms. The list is endless.
